Administrative Assistant

Area of Responsibility
Providing an administrative function for the Durban branch, maintaining document record keeping and ensuring compliance to all internal systems and administrative procedures. This is an Equity position. Candidates should have advanced computer skills and the ability to multitask

Duties – not limited to the following:


  • Maintenance and updates, handling queries and tickets on the system together with the Admin Manager
  • Responsible for the loading and maintenance of Contacts, Assets, Projects and recurring jobs
  • Editing and updating on Eworks Setup Manual for the other Branches and the Company
  • Reporting in terms of SLA requirements, i.e. Productivity Report as well as manual reports on equipment pending repairs or where no service or QA has been undertaken,


  • Authorising jobs and invoicing out parts used.


  • Booking of services and QA’s from unassigned list together with input from Technical Coordinator
  • Invoicing for DOH
  • Monthly overtime report for Technicians


  • Monthly usage reports i.e. Contrast, Injector Placements, etc.
  • Reporting and compiling of spreadsheets
  • Updating of SLA database
  • Updating of branch Organograms and Birthday List
  • Payment Requests
  • Adhoc requests as and when required, i.e. Technical Shirts, Hepatitis Be Vaccinations, branch functions, etc.
  • Uploading of new installations to Carestream Taigette and attend to all queries related to the Taigette system
  • General Administrative duties as and when required
  • Assist Customer Services as and when required
  • Assist Customer Service with stock transfers
  • Weekly movement reports


  • Health and Safety for the KZN Branch.
  • Assist with Medical Device registrations – to be evaluated once scope of work is detailed by SAHPRA in Guidelines
  • Any other functions associated with the position.

Experience required

  • Previous administrative experience
  • Syspro would be beneficial,
  • Strong Microsoft Office skills including Outlook, MS Word and Excel is essential


  • National Senior certificate.
  • A recognised Administrative course would be beneficial


  • Attention to detail and Accuracy
  • Ability to work under pressure and meet deadlines
  • Results Orientation
  • Strong Communication Skills especially in English
